This Privacy Policy describes how Sign Off Now ("we", "us", or "our") collects, uses, and protects information when you use our iOS application and website (signoffnow.com).
Information We Collect
When you create an account, we collect:
- Email address (used for authentication only)
- Display name (optional, shown to collaborators)
When you use the app without an account (anonymous mode), we assign a temporary anonymous identifier. No personal information is collected.
Project & Voting Data
When you create a project or vote, we store:
- Project name and type
- Uploaded images and videos (stored locally on your device)
- Vote results (yes/no) and optional rejection comments
- Invite codes for sharing projects
Project data is stored locally on your device using SwiftData. It is not uploaded to external servers unless you use the enterprise approval features.
Enterprise Approval Features
If you sign in with an organisation account, the app connects to your organisation's media library hosted on our servers. In this case:
- Images are fetched from and approval decisions are sent to our API
- Your name (from your account) is recorded as the reviewer
- Rejection reasons and notes are stored alongside the approval record
Cookies & Analytics
Our website uses cookies for:
- Essential cookies — required for the website to function (consent preferences)
- Analytics cookies — Google Analytics via Firebase, used to understand how visitors use the site. You may opt out via the consent banner.
The iOS app uses Firebase Analytics to collect anonymous usage data. No personally identifiable information is included in analytics data.
How We Use Your Information
- To provide and maintain the app's functionality
- To authenticate your account
- To enable team collaboration and voting
- To process approval decisions for enterprise users
- To improve the app and website through anonymous analytics
We do not sell your data to third parties. We do not use your data for advertising.
Data Storage & Security
Personal project data is stored locally on your iOS device. Account authentication is handled by Google Firebase, hosted in the United States. Enterprise media data is hosted on secure servers with HTTPS encryption.

Your Rights (GDPR)
If you are located in the European Economic Area, you have the right to:
- Access — request a copy of the data we hold about you
- Rectification — request correction of inaccurate data
- Erasure — request deletion of your data ("right to be forgotten")
- Restriction — request we limit processing of your data
- Portability — receive your data in a portable format
- Object — object to processing of your data

Data Retention & Account Deletion
Your data is retained for as long as your account is active. You may delete individual projects at any time within the app.
To delete your account entirely, contact us at signoffnow.com/contact. This will permanently remove your authentication credentials and any server-side data associated with your account.
Local data on your device can be removed by deleting the app.
Children's Privacy
Sign Off Now is not intended for users under the age of 16. We do not knowingly collect data from children under 16.
File Size Limits
Uploaded images and videos are limited to 150 MB per file to ensure performance and storage efficiency.
Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date.
